BCV Peak Dental, LLC Dental Records and Practice Administration

Computer Integrated Dental Records Administration

Every tooth accounted for. Every record in its slot.

BCV Peak Dental, LLC administers the dental chart system that keeps a modern practice running on time. Our records office at 692 S 680 E in Payson, Utah maintains the odontogram charts, preventive recall calendars, restorative treatment plans and insurance correspondence for a working general dental practice. We treat the paper chart and the digital record as one continuous instrument, so nothing is ever entered twice and nothing is ever lost between the front desk and the treatment plan.

Our team built this discipline around a simple conviction: a dental practice serves people best when its records are complete, legible and current. Explore the services we administer →

A Records Room Built for Continuity

What a dental records office actually does all day

Most people experience a dental practice through the thirty minutes they spend in the chair. The rest of the work happens before and after that visit, in a records office where charts are updated, recalls are scheduled, treatment plans are costed, insurance claims are assembled and correspondence is filed. BCV Peak Dental, LLC exists to run that quieter half of the practice with the same care as the clinical half. We are not a clinical provider and we do not diagnose or treat anyone. We are the administration layer: the charts, the calendars, the letters, the ledgers and the digital systems that hold them together.

The practice we support treats patients of every age, from schoolchildren attending our outreach sessions to adults managing long-term restorative work. Each of those patients deserves a chart that reads clearly to any clinician who opens it. Our job is to make that possible, visit after visit, year after year, whether the record is a paper folder on a hook or a structured entry inside a computer integrated system.

The Six Disciplines

Services administered for the practice

Our work is organized into six interlocking services. Each one is described in full on the services page, and each one feeds the others so that a single visit produces a single, consistent trail of documentation.

Tooth 3 · Intake

New patient charting and odontogram records

When a new patient arrives, we build the chart from the ground up: demographics, medical history flags, the full odontogram with every tooth numbered and marked, and the initial findings recorded in the clinician own words. The odontogram is the backbone of the record, so we render it in a universal numbering grid that any dentist can read at a glance. Read the full description on the services page.

Tooth 14 · Recall

Preventive cleaning and exam scheduling

Preventive care only works if the recall calendar holds. We maintain a rolling schedule of cleanings, examinations and sealant reviews, issue reminders well before each due date, and reconcile no-shows so that no patient silently drops out of the prevention cycle.

Tooth 19 · Planning

Restorative treatment planning

Restorative care unfolds across several visits, and the plan must survive every one of them. We assemble phased treatment plans that pair each proposed restoration with the chart findings that justify it, then track authorization, sequencing and completion.

Tooth 24 · Correspondence

Records requests and insurance coordination

Practices live or die by their correspondence. We process incoming records requests, prepare outgoing treatment summaries, verify benefits and assemble claim packets so that reimbursement is not delayed by a missing form or an unclear narrative.

Tooth 30 · Triage

Emergency toothache triage

A toothache does not schedule itself politely. Our triage desk captures the essential history over the phone, flags the urgency, opens a provisional chart entry and routes the patient into the earliest appropriate appointment slot.

Community · Outreach

Community outreach and school dental education

Prevention begins long before the first cavity. We coordinate school visits, classroom education sessions and community screening events, then file attendance and follow-up records so that outreach becomes a documented, repeatable part of the practice year.

BCV Peak Dental opens its new-patient records window each business morning, so a chart requested today is on the clinician desk before the first appointment tomorrow.

How the Work Flows

From first call to filed record

Every patient journey follows the same arc, and every stage leaves a mark on the chart. A first phone call opens a provisional entry. A completed intake converts it into a full odontogram record. A scheduled cleaning sets a recall date. A restorative plan links its phases to specific teeth. An insurance packet closes the financial loop. A follow-up letter, if one is needed, is filed beside the rest of the correspondence.

This flow is what separates a records office from a filing cabinet. Because each stage hands a defined output to the next, the practice can tell at any moment where a given patient stands and what remains outstanding.

Built on computer integrated systems

We work inside computer integrated dental systems that connect scheduling, charting, imaging references and billing into one coherent record. That integration is what lets a change made at the front desk appear instantly on the clinician screen, and it is the reason our documentation standard has to be strict.

Where a paper chart still serves the practice better, we maintain the paper chart with the same rigor, and we keep the two synchronized so neither drifts.

Why It Matters

A legible record is a form of respect

When a chart is complete, a clinician spends less time reconstructing history and more time with the patient. When a recall calendar holds, fewer people lose teeth to problems that prevention could have caught. When a treatment plan is sequenced clearly, a family can plan its budget instead of facing a surprise.

These are administration outcomes, and they matter precisely because they are invisible when done well. BCV Peak Dental, LLC measures itself by how rarely a detail is missing.
